JOB TITLE :Reservation Agent
DEPARTMENT : Reservation
REPORT TO : Reservation Manager
GENERAL MISSION
The Reservation Agent handles and process room reservations. Maximize room occupancy and average room rate through up selling.
RESPONSIBILITIES AND MEANS
- To confirms reservations for rooms according to the room’s availability issued by the Reservations Officer accords the rates that are currently in effect and arranges the billing according to hotel procedures.
- To handles all group tours/ conventions from the initial blockage to the rooming lists.
- To records all reservations neatly and accurately on prescribed forms.
ADMINISTRATIVE RESPONSIBILITIES
- To files neatly all updated correspondence chronologically, first and then alphabetically.
- To handles the telex machine in sending outgoing reservations telexes.
- To handles all advance deposits received by crediting the amounts into the correct guest’s folios and issuing receipts to the senders.
- To handles all onward reservations of Accor Group.
- To check incoming letters, telexes and faxes than distribute to whom it may concerned within the Reservation Department.
TECHNICAL RESPONSIBILITIES
- To updates the computer immediately and accurately if there’s any changes.
- To sends out confirmation slip promptly if requested.
- To handles any request for amenities or transportation promptly and accurately.
- To update guest history records, travel agency/company records and account receivable records on a regular basis
- To handles the reservation correspondence accurately and neatly.
- Promptly prepare 7 days VIP and any Reservation report.
COMMERCIAL RESPONSIBILITIES
- To check any no-show and cancellation report with the correspondence and keep the record in the file.
- To coordinate with the travel agent and update the room allotment.
HUMAN RESPONSIBILITIES
- To report for duty punctually wearing the correct uniform and name badge at all times.
- To provide a courteous and professional service at all times.
- To maintain good working relationships with your own colleagues and all other departments.
- To have a complete understanding of and adhere to the hotel’s policy relating to Fire, Hygiene, Health and Safety.
- To maintain a high standard of personal appearance and hygiene at all times.
- To have a complete understand of the hotel’s employee handbook and adhere to the regulations contained within.
- To maintain the cleanliness of the working area in the Reservation Department.
- Perform other duties as may be assigned by the management from time to time
RELATIONSHIP
- Establish Effective Employee relations, maintains the highest level of professionalism, ethic and attitude towards all hotels guest, clients, head of department and employees.
